What we need in order to quote accurately
A quote is arithmetic applied to six facts. Give us all six and you get a number you can take to a budget meeting; give us two and the honest answer is a range so wide it is useless to you. Nothing on this list is commercially sensitive, and none of it commits you to anything.
The two that matter most are the ones most often left out. Stall area decides the build route, the staffing, the space plan and the lead time. Number of open sides decides the layout, how much wall you have to brand on, and whether the stand reads from one aisle or from four.

Hall and stand number, the exhibitor manual and two or three reference stands are not required for a quote, but each one removes an assumption.
What a good quote itemises
Two quotes for the same stall can differ by thirty per cent and both be honest, because they are quoting different scopes. The only defence is itemisation: a quote that shows its lines can be compared, and a quote that shows one total cannot. Use this as a checklist against anything you receive, from us or from anyone else.
- Design and 3D visualisation, with the number of concepts and revision rounds stated
- Fabrication by element — walls, counters, storage, ceiling, raised flooring
- Graphics: substrate, print area and whether reprints are included
- Lighting: lamp type, count and the sanctioned load the stand needs
- AV and LED: screen size, pixel pitch, source equipment and a technician if required
- Furniture and fittings, listed item by item rather than as a lump sum
- Flooring and carpet, including the edges and the protection the venue demands
- Transport to the venue and back, stated as a line rather than absorbed
- Installation and dismantle labour, with the build-up shifts it assumes
- On-site crew and project management through the show days
- Taxes, and exactly what is excluded — space rent, metered power, hospitality, staffing

If something on the six-item list is missing, the clock effectively starts when it arrives, which is why the form above asks for area and city rather than just a phone number.

What you give up is iteration, not build quality.
What the numbers will look like
Before the quote arrives, here is the arithmetic behind it. Custom design and fabrication runs ₹9,000 to ₹18,000 per sq.m, design on its own starts from ₹25,000, and kiosks start from ₹60,000. Lead time is 3 weeks from approved design, plus a week from 24 sq.m and two more from 54 sq.m, plus two for a premium finish and two for a double-decker.
The space plan in the same table is the one we design to: storage at a tenth of the area up to 18 sq.m and about a sixth above it, a meeting corner at roughly a twentieth, and the remainder as display. It is the same formula the stall planner publishes, so the figure a tool gives you and the figure on your quote agree.

Design and fabrication only. Space rent paid to the organiser, metered venue charges, hospitality and stand staffing sit outside this band. Premium finishes and double-decker structures add two weeks each.
What happens between the quote and the build
Accepting a quote is not the end of the commercial conversation, it is the start of a schedule. These are the six stages between a price you are happy with and a stand standing in the hall, and the one that decides your timeline is the third.

You compare the quote
Read it line by line against anything else you are holding. If a competing quote is cheaper, check whether it includes graphics, lighting, flooring, transport, installation, dismantle and on-site crew — a missing line, not a better rate, is the usual explanation.

Scope is frozen in writing
Inclusions, exclusions and the revision rounds you have are confirmed before anything moves. This is the moment to add the meeting room or drop the LED wall, while it costs a sentence rather than a change order.

Design sign-off
You approve the 3D visuals and the materials schedule together. Lead time runs from this point, not from the day you first enquired, which is why a slow approval is the single most expensive delay available to an exhibitor.

Drawings and organiser approvals
The approved design becomes dimensioned plans, elevations, an electrical load statement and a materials schedule, checked against the hall's height, rigging and fire rules and submitted before the organiser's deadline.

Production and artwork lock
Carpentry, metalwork, finishing and printing are raised together so one late item does not stall the line. Artwork has to be print-ready by now: graphics sit on the critical path and cannot start without files.

Dry build, dispatch, install
The stand is stood up and tested in the workshop, panels numbered, then installed inside the organiser's build-up window by the same crew — followed by handover against the drawing, show support and dismantle.
What makes a quote change after it is issued
A quote holds for the scope it describes, and we would rather say plainly what moves it than pretend nothing does. Each of these is re-quoted as a line against the original, so you can see exactly what changed and why, instead of receiving a new total with no explanation.
- Stall area changes — the organiser reallocates, or you upgrade to a larger space
- Open sides change — a side you expected to brand turns out to be open, or the reverse
- The design grows after sign-off: an extra counter, a closed meeting room, more height
- Finish level moves up — laminate to veneer or spray, standard lighting to specified fittings
- AV is added or upsized, which pulls power, structure and a technician along with it
- Artwork arrives late enough to need express printing or a reprint
- The organiser adds a requirement: a structural certificate, specific flooring, a rigging fee
- Build-up hours shift to nights or a shorter window, changing the crew line
- The venue or stand number changes, which moves transport and access
- Dismantle is brought forward or extended by the organiser's revised schedule
